U.S. Masters Swimming Privacy Policy

Personal Information

U.S. Masters Swimming (USMS) collects information from its members as part of the registration process. This information includes, but may not be limited to, member’s name, address, phone number, email address, date of birth and gender. USMS does not collect Social Security numbers. As part of the registration process, USMS assigns a unique member identification number.

USMS and its affiliates have access to this information through and upon completion of the registration process. USMS affiliates include Local Masters Swimming Committees (LMSCs), registered clubs, sanctioned events, and event registration vendors.

Financial Information

Members may pay for membership and register for events with credit cards; however, USMS does not retain credit card information once a transaction is completed. Third-party vendors contracted by USMS or its affiliates to perform member registration and event registration may have different policies.  We encourage our members to review the privacy policies of our third-party vendors prior.

Use of Member Information

USMS and its affiliates communicate with its members through the mail and email. This requires access to member information to properly send information. Members may choose to opt out of receiving such information by contacting membership@usmastersswimming.org.

USMS and its affiliates sanction competitions. For the purpose of entering competitions, a member’s registration information, including but not limited to name, date of birth, age, sex, and member identification number, are used for the purpose of verifying membership and for segregating the results of the competition. In order to facilitate this process, USMS may provide membership information to meet organizers and other meet officials.

USMS and its affiliates assemble and publish lists of event results, including the results of single competitions as well as cumulative lists such as the annual Top 10 lists. These lists segregate the results based upon gender and age group and include the age of each competitor at the time of the competition. The competition results may also be posted on the USMS website, as well as the websites affiliated with USMS.  The competition results may include a member’s name, age, sex, and member identification number.

Verification of Membership

In order to conduct its business and provide certain benefits, USMS and its affiliates are required to verify membership.  Individual member name, member identification number and last year of registration may be posted on the USMS, USMS Community, and USMS's affiliated websites.

Requirements for Membership

In order to conduct its normal business, USMS requires members to supply their correct date of birth, and sex. USMS reserves the right to request verification of personal information and may withhold membership if this information is not supplied.

Sharing Membership Lists with Sponsors

USMS may provide its membership lists, including member name and address, to sponsors for the purpose of sharing information about the sponsor’s products or to offer USMS members special opportunities. USMS does not provide member phone numbers or member email addresses to sponsors. USMS shares the lists under strict conditions that include prohibiting the sponsor from further sharing the membership list with other entities. Members may choose to opt out of receiving sponsor information by contacting membership@usmastersswimming.org.

Sharing Donation Information

USMS shares its adult learn-to-swim grant donor list, including name and contact information, with USA Swimming and the USA Swimming Foundation for fundraising purposes. USMS shares this information on the condition that USA Swimming and the USA Swimming Foundation not share donor information with third parties except as required by law. You may opt out of marketing by utilizing the preference center, linked at the bottom of all USA Swimming emails or by emailing membership@usmastersswimming.org. You will still receive transactional emails related to your donation, pursuant to our legal obligations.

USMS Website

The USMS website uses remarketing services to advertise on third party websites (including Google and Facebook) to previous visitors to our site. This could mean that we advertise to previous visitors who haven’t completed a task or registration on our site. Examples of the remarketing service may include, but are not limited to, USMS advertisement on the Google Content Network, on Facebook or another affiliates site. Third-party vendors, including Google, may also use cookies to serve ads based on someone’s past visits to our website. Of course, any data collected will be used in accordance with our own privacy policy and the third-party vendor’s privacy policies. A member can opt out of Google’s use of cookies by visiting Google’s Ad Settings or opt out of other third parties’ use of cookies by visiting Network Advertising Initiative opt-out page.

The USMS website also uses analytics platforms, which are web analysis services that utilizes the data collected to track and examine the use of usms.org and to prepare reports on its activities to help provide a more personalized site and better user experience. No personally identifying data is included in this type of reporting. Most of the data collected is done so by using a cookie, which collects this type of information: operating system, site usage time, browser type, etc. The Google Analytics privacy policy can be reviewed through its website.

Other third party affiliates (such as Sitecore) that use tracking pixels and cookies to help analyze our site data and provide better service to you have different policies with respect to “do not track” signals and we make no representations with respect to such policies. Please note, if a member has any “do not track” signals on its web browser or other mechanism, it will have no effect on the collection of personally identifiable information by us for member registration.
